The Consular Assistant plays a key role in supporting the consular team at the Singapore High Commission, handling visa and immigration services, assisting with public inquiries, and ensuring smooth consular operations. Other tasks include managing consular outreach activities and assisting in audits and administrative duties.
The Consular Assistant would be responsible for:
- Processing visa applications and responding to public queries via email and phone.
- Assisting to train and manage the network of visa/travel agents/trusted partners including conducting site visits for audit checks and investigating complaints against visa agents.
- Assisting in Mission’s review of visa processing workflow and the performance of visa agents where applicable and recommend changes for improvement.
- Assisting Mission with consular notarial functions including certification and authentication of documents, service of court documents and follow-up action.
- Handling immigration services, including accepting Singapore passport applications, issuance of Document of Identity, attestation/legalisation services, and permanent resident renunciation.
- Collecting service fees and issuing receipts
- Generating daily revenue collection statements.
- Arranging ICA-related documents for the diplomatic bag.
- Assisting Mission with consular cases.
- Performing Duty Officer’s duties (on Mission’s weekly roster for 24 hours standby).
- Assisting in the organisation of consular outreach events and activities.
- Assisting Mission with administrative and other duties assigned by the Office Manager or HBS as and when necessary.
The ideal candidate would:
- Have a university degree.
- Have at least five years of relevant work experience. Past consular related work experience with other embassies will be preferred.
- Have strong communication skills in English and Hindi, both spoken and written
- Be highly organised and detail-oriented, with experience in handling official documents.
- Have proficiency in Microsoft Word, Excel, Outlook.
- Have experience in managing financial transactions, including fee collection and revenue tracking.
- Possess strong interpersonal skills and the ability to interact professionally with the stakeholders.
- Be Independent, a good team player, and able to multitask efficiently.
